Important Information for Patients:
Change of Clinical System
We wanted to give you some background about an important change happening at the practice, so you understand what’s going on and why things may feel a little different for a short time.
Our Health Board is moving us from one clinical computer system to another (from EMIS to Vision). This is the system we rely on for everything such as your medical records, prescriptions, test results and appointments.
Because this system sits at the heart of how we safely run the practice, the changeover is a complex process and has to be done very carefully. It’s not something that happens often – the last time we were still at 75 Busby Road – but it is essential to make sure your information is transferred safely and accurately.
During the switch, there will be times when we don’t have access to our usual systems at all. When that happens, it limits what we can safely do, for example, we won’t be able to view records or manage appointments in the normal way.
We completely understand that this may be frustrating, and we are really sorry for any inconvenience it causes. Please be reassured that:
We will still have clinical staff available
Patients who need to be seen will still be cared for
Our team will be doing everything possible to keep disruption to a minimum
This is a temporary situation, and the long-term aim is to have a more reliable and effective system for your care.
We really appreciate your patience and understanding while we work through this. it genuinely makes a big difference to our team during what is a very demanding process behind the scenes.

Online Services

Online appointment booking via Patient Access will stop from Friday 12th June.

Online prescription requests via Patient Access will stop from Friday 26th June.

To ensure you can use the new Patient Access system when we change clinical system, please complete the form below with your email address. This will allow the new system to send you instructions on how to transition over. You should expect an email from OneAdvanced around 1st July with instructions on how to activate your account on the new system.
Appointments

From Thursday 2nd July to Tuesday 7th July the practice will not have access to the routine appointment booking system. Any routine appointments must be booked before or after these dates.

During this time you will not be able to call the practice to book routine appointments.

Urgent same-day appointments will still be available if required.

If you have a matter that needs attention and wish to book ahead, we advise that you contact the practice before these dates.
Repeat Prescriptions

From Thursday 2nd July to Tuesday 7th July you will not be able to request repeat medication.

Please request your medication slightly earlier than usual to avoid any disruption.
Fit Notes

From Thursday 2nd July to Tuesday 7th July the practice will not be able to issue fit notes.

Fit notes can be backdated if required, so please contact the practice after this period.
Private Work and Subject Access Requests (SARs)

All private work and Subject Access Requests submitted after 25th June may be significantly delayed. There will be no option for 7 day service during this time.
Other clinical appointments

Normally you can book Appointments with nurses, healthcare assistants, pharmacists, physiotherapists and link workers more than 4 weeks. However, due to the changeover, we will only be offering bookable appointments up to 31st July during the transition period.

If you require an appointment from August onwards, please contact the practice after Tuesday 7th July once the new system is in place.
Appointment Text Reminders

From 1st July to 10th July, appointment text reminders will not be sent.

Please do not rely on text reminders during this period if you have an appointment booked.
New Patient Registrations
From 25th June to 7th July, we will not be able to add new patients to our clinical system while we change over to the new system.
We will still accept new patient registration forms during this time, however registrations will not be processed until after the new system is in place.
This means you may experience a short delay before you are fully registered with the practice.
